Controls and security

Controls that hold because the code holds them.

Segregation of duties, a signed audit trail, second factors for approvers and encrypted originals are part of how FundAgent works, not settings someone has to remember. What it does not claim is stated just as plainly.

Four eyes

Whoever prepares cannot approve. On every write.

The rule is checked by the server at submission, approval and posting, not by the screen. Approval re-checks the amounts, allocations and conditions; a proposal whose inputs changed must be recalculated and reviewed again.

  • Journal entries, and their reversals
  • Capital calls, distributions, fees and equalisation
  • The quarter close, and any period reopening
  • Bank matches and invoice payment requests
  • KYC decisions and investor documents before publication
  • Regulatory packages, consolidations and revaluations

Audit trail

  2. entry.submittedCamille Laurentc40f2a…5e13

Chain verified · HMAC-SHA-256

Audit trail

Every event chained, signed and verifiable.

Each event records who acted, on what, when and with which details, and is chained to the one before. Signatures use HMAC-SHA-256 under a key held outside the database, so whoever can write to the database still cannot forge history.

  • Verification anyone authorised can run

Administrators and auditors recompute every signature and every link in one ordered pass. A changed field, a deleted event or a broken link is reported as invalid.

  • Checkpoints kept elsewhere

Keep the head hash outside FundAgent; checking against it detects even a history rewritten from start to end.

  • Honest about the past

Older events whose signatures cannot be reconstructed are reported as unverifiable, never certified as intact.

Identity and access

The right people, with a second factor where it matters.

Roles and per-fund grants decide who sees and does what; an investor sees only their own positions. Approvers must enrol a time-based second factor before they can approve anything.

  • Second factor done properly

TOTP with ten single-use recovery codes stored as hashes; a reused code is rejected, and eight failed checks lock verification for fifteen minutes.

  • No silent shortcuts

No administrator can quietly remove someone’s second factor, and the last active administrator is protected.

  • Invitations, not shared passwords

Accounts start from single-use links; rights changes revoke earlier sessions, links and tokens.

Approvers cannot approve until they enrol. Changing someone’s rights revokes their sessions and tokens.

Data protection

Originals kept exactly, encrypted, recoverable.

Documents

  • Originals retained byte for byte, with their SHA-256 hash
  • AES-256-GCM encryption with versioned key identifiers
  • Key rotation without rewriting documents; keys kept outside document storage

Operations

  • Backups that verify every encrypted source against its hash
  • Restores that check fingerprints and invalidate existing sessions
  • Read-only integration tokens, scoped by fund, stored as hashes and revocable at once

Assurance

Evidence you can hand to someone who doubts.

Controls are only as good as the evidence that they operated. FundAgent produces it as a by-product of the work.

Parallel run

Run beside your current administrator; NAV and capital accounts are reconciled line by line and every difference explained.

Controls register

Shared with the AIFM’s functions, the administrator and the auditor you designate. Each control has an owner and a tester, is attested under four eyes and carries its live evidence; the auditor sees only what is shared with them and records findings, tracked to closure.

Prepared for these reviews. Not certified.

ISAE 3402
The controls over the fund administration process, described and evidenced so a service auditor can test them.
SOC 2
Security, availability and confidentiality controls mapped to the evidence that shows they operate.
DORA
Logging, backup and recovery, access and change controls, documented for your ICT risk and third-party register.

Stated limits

What FundAgent does not claim.

  • It holds no ISAE 3402, SOC 2 or DORA certification today.
  • It does not execute payments: it prepares them, your bank executes.
  • It does not file with authorities: it prepares and exports the files you submit.
  • Bank, e-mail, signature and KYC providers are connected when you choose them; today it imports original files.
  • The default local key store is not a hardware security module; production uses your secret manager.

Everything to check before you trust us with a fund

See your figures proved.

In a demo, we trace a NAV to its source documents, prepare a quarter close and show the controls at work, with your questions and at your pace.
